Topic: Introduction of new (Valerie Giroux) and reallocated (Nick Young) resources.
Context: ITS executed a major restructuring in early 2021 that resulted in a reduction in force of 20 FTE. The majority of the approximately $2M in recovered salary has been reallocated toward mitigating the $5M+ ITS annual budget shortfall. However, one new data position was hired and two are currently in the process of being hired to fill critical resource gaps. We have also reallocated several senior-level internal ITS resources that were focused in other areas toward institutional data initiatives. These resources have been fully transitioned to their new roles and are actively engaged in the three critical data workstreams.
Discussion will be continued to the next meeting.
Topic: Demo of new SCH report in Power BI.
Context: Valerie is in the process of conducting executive stakeholder data needs assessments with Debbie, Bob and Tina and is working with Nick’s team to build detailed report design requirements based on identified needs. Tina is the first executive stakeholder to go through this process. Five key data element reports were identified by Tina, as follows:
- SCH (Student Credit Hours) Report – three (or four, if possible) year comparison
- Unregistered Student Report
- Cohort Registration Report
- Seat/Course Availability Report (including Minerva Academic Curriculum – MAC – courses when these are added to Banner)
- Grade distribution by course report
Initial draft versions for 4 of the 5 reports are in validation now and we expect the 5th to be complete in next 48 hrs. In the initial draft versions all key data elements are presented, all data is properly plumbed to backend data sources, and all data is automatically refreshed every 24 hours. Subsequent drafts will focus on QA, dashboard layout, and presentation standards that move us to a consistent look and feel that all executive stakeholders like.
Topic: Update on Institutional Data Strategy, Key Data Visualizations and Data Infrastructure.
Context: Three concurrent work streams are underway that include development of key data visualizations, build out of data infrastructure, and implementation of an institutional data strategy. Both the infrastructure and data strategy elements require additional funding that will be provided in a $1.5M HEERF grant to ITS.
